FORMAL TERMS & CONDITIONS

1. Tickets and Wristbands

1.1 All advance tickets and tickets purchased at the gate are non‑refundable. Tickets may be transferred to a third party at the ticket holder’s discretion.

1.2 It is the responsibility of the ticket holder to ensure all ticket details are correct at the time of purchase.

1.3 Wristbands must be securely fastened upon arrival. Lost or stolen wristbands will not be replaced free of charge; failure to present a valid wristband will require purchase of a full‑price replacement.

1.4 Damaged wristbands may be exchanged for a replacement upon presentation to an authorised member of staff.

1.5 To prevent fraud, the organiser reserves the right to request additional information to verify any booking.

1.6 Entry to the event constitutes consent to photography, filming and audio recording for promotional or archival purposes.

2. Right of Admission

2.1 Admission to the event is at the sole discretion of the organiser, who may consider health, safety, environmental and security factors.

 2.2 Security searches may be conducted as a condition of entry.

 2.3 The organiser reserves the right to refuse admission or eject any person who:

• Appears to be underage

• Declines to be searched

• Engages in abusive, threatening, drunken or antisocial behaviour

• Possesses offensive weapons or illegal substances

• Fails to comply with event rules or conditions

2.4 No refund shall be issued in the event of refusal of entry or ejection.

2.5 The organiser accepts no liability for loss of or damage to personal property.

 

3. Event Cancellation or Postponement

3.1 In the event of cancellation or postponement due to unforeseen circumstances, all tickets shall be automatically transferred to the next available event date.

4. Prohibited Items and Searches

4.1 By purchasing a ticket, attendees consent to security searches when requested.

4.2 Glass items are strictly prohibited. Bottles will be confiscated; contents may be decanted into suitable containers.

4.3 The following items are prohibited and will result in confiscation, eviction from the site, and possible notification of law enforcement:

• Illegal substances

• Offensive weapons

• Fireworks, sky lanterns, kites, wax flares, sound systems

• Nitrous Oxide or any psychoactive substances (as defined under the Psychoactive Substances Act 2016)

4.4 Only food and alcohol for personal consumption may be brought onto the site.

4.5 Portable laser equipment or pens are not permitted.

4.6 Motorised scooters, mini bikes and quad bikes are prohibited.

5. Dogs

5.1 Dogs are permitted but must be kept on a lead and under control at all times.

5.2 Owners must remove and dispose of dog waste in the bins or skips provided.

6. Fires, Fire Pits and Barbecues

6.1 Open fires are strictly prohibited.

6.2 Fire pits and barbecues are permitted only if raised off the ground, attended at all times, and fully extinguished after use.

6.3 Any person found using an open fire will be removed from the site.

6.4 Barbecues must be completely cooled before disposal in skips.

6.5 During periods of extreme weather — including but not limited to heatwaves, drought conditions, high winds, or any situation where the risk of fire is elevated — all fire pits, barbecues, cooking equipment, and any form of open flame are strictly prohibited.

6.6 The organiser reserves the right to declare a full fire ban at any time based on environmental conditions, emergency service guidance, or site‑specific risk assessments. 6.7 Failure to comply with a declared fire ban will result in immediate removal from the site.

 

 7. Trading

7.1 Trading from camping plots or any non‑designated area is strictly prohibited.

7.2 Any person found trading without prior authorisation will be required to leave the showground.

8. Site Equipment and Conduct

8.1 Any person causing damage to site equipment—including fencing, toilets or infrastructure—through irresponsible behaviour will be removed from the site immediately.

8.2 A cleaning fee of £150 will be charged for any toilet deliberately tipped or damaged.

8.3 Flag poles must be positioned at least 5 metres from overhead electrical cables.

9. Water Safety

9.1 Fishing is not permitted.

9.2 Swimming in the river or canal is strictly prohibited.

10. Noise

10.1 Attendees must keep noise to a reasonable level.

​

11. Generators

11.1 Generators are permitted but may only be operated between 09:30 and 20:30.

11.2 Attendees must show consideration for fellow campers, staff and local residents.

12. Vehicle Movement

12.1 Vehicle movement within the site is prohibited except for:

• Leaving or returning to the event

• Participation in organised activities

• Official Volksfest Wales vehicles

12.2 The maximum speed limit on site is 5 MPH and must be strictly observed.

12.3 Any person driving outside permitted circumstances or exceeding the speed limit will be removed from the site.

 

 

13. Security and First Aid

13.1 Security and First Aid personnel are present on site 24 hours a day.

13.2 Showground gates will be locked between 21:00 and 09:00.

13.3 Security personnel are authorised to refuse entry or eject any person causing a nuisance.

14. Liability

14.1 The organiser shall not be liable for any loss, damage, injury or expense sustained by attendees, traders, contractors or visitors while on the event site, except where such liability cannot be excluded under applicable law.

14.2 Attendees enter the site at their own risk, including risks associated with uneven ground, weather conditions, temporary structures, and the actions of other attendees.

14.3 The organiser shall not be responsible for loss or damage to personal property, including vehicles, camping equipment, trade stock, or valuables.

14.4 Nothing in these Terms & Conditions shall limit liability for death or personal injury caused by negligence or any other liability which cannot be excluded by law.

15. Indemnity

15.1 Attendees agree to indemnify and hold harmless the organiser, its staff, contractors and agents from any claims, damages, losses or expenses arising from:

• Breach of these Terms & Conditions

• Misuse of facilities or equipment

• Damage caused to property or infrastructure

• Actions that endanger the safety of others

15.2 Traders and exhibitors further agree to indemnify the organiser against any claims arising from their commercial activities, equipment, products, or interactions with the public.

 

16. Data Protection

16.1 Personal data collected during ticket purchase, trader registration or event participation will be processed in accordance with applicable data protection legislation, including the UK GDPR.

16.2 Data may be used for ticketing administration, fraud prevention, safety management, and essential event communication.

16.3 Personal data will not be shared with third parties except where required for event operations or legal compliance.

16.4 Attendees may request access to, correction of, or deletion of their personal data by contacting the organiser.

17. Refund Policy

17.1 All tickets are non‑refundable, except where required by law.

17.2 Refunds will not be issued due to changes in personal circumstances, weather conditions, failure to comply with event rules, or ejection/refusal of entry.

17.3 In the event of postponement, tickets automatically transfer to the next available date.

17.4 If the event is cancelled with no alternative date offered, refunds may be issued at the organiser’s discretion.

 

18. General Provisions

18.1 The organiser reserves the right to amend these Terms & Conditions at any time.

18.2 Amendments will be published through official Volksfest Wales communication channels.

18.3 These Terms & Conditions are governed by the laws of England and Wales.

18.4 Any disputes shall be subject to the exclusive jurisdiction of the courts of England and Wales.
